Destination Wedding Guest Management | Meet AskVino

YOUR GUESTS WILL HAVE QUESTIONS. LOTS OF THEM

There is a moment in almost every destination wedding when couples realise that managing guests is a job in itself.

It usually starts innocently enough.

You create a beautiful wedding website with all the information guests could possibly need. You add the RSVP form, dietary requirements, accommodation details, travel information, dress code and schedule. You send the link. You remind people to read it.

And then the questions start.

"Which airport should we fly into?

Do we need to book our own accommodation?

How do we get from the airport to the hotel?

Will there be a welcome dinner or other events?

Is there anything we need to book ourselves?

Can we bring our children?

How many days should we plan to stay?

Do we need to hire a car?

And what should we do while we're in Portugal?"

And suddenly, your wedding planning WhatsApp is full of questions.

The information was there. They just didn't see it.

This is something I have experienced many times when planning weddings in Portugal.

Guests all have their own pace when it comes to digesting information. Some read every page of the wedding website the moment they receive it. Others skim it. Some save it for later. Some remember, some forget. And even when you have communicated everything perfectly, information can simply get missed.

We have had guests arrive in Portugal who genuinely had no idea what was happening next.

Not because they hadn't been informed. They had. They had simply missed the communication.

And then there is something about arriving in Portugal that makes this even more noticeable. The moment people set foot on Portuguese soil, they switch into holiday mode. They are excited, relaxed, possibly jet-lagged - and suddenly that carefully written wedding website they last visited a few weeks ago, is the last thing on their mind.

While you are trying to peacefully prepare yourself for the excitement ahead, the questions

become more urgent and need your attention right now.

"Hi! We just arrive to Lisbon. So exciting. Where do we go now?

Who is picking me up?

Can I get a taxi?

What time is my hair appointment tomorrow?

Can you remind me - what happens tonight?"

This is where I think AskVino is particularly clever.

AskVino isn't another app

AskVino is essentially a personal guest concierge that lives in the communication channel people already use. There is no app to download, no new account to create and no complicated guest portal to learn. Guests simply communicate with Vino by text or WhatsApp, in their own language. AskVino currently supports more than 20 languages.

You give Vino the information about your wedding - your schedule, venue, accommodation, travel information and all the other details your guests might need.

Then your guests can simply ask.

"What time is the shuttle?"

"Where am I staying?"

"Is there a dress code for tonight?"

"I'm vegetarian — did you receive that information?"

"Can I still join the wine tasting tomorrow?"

Vino answers based on the information you have provided.

And this is an important distinction: AskVino is a concierge, not a chatbot.

The aim is to have an ongoing, personal conversation with each guest rather than sending people through a series of automated menus or FAQs. We love Vino for being honest. If Vino doesn't know the answer, the question is flagged for you rather than an answer simply being invented.

For me, that is one of the most important parts.

Because there will always be questions that are specific to your wedding.

And those are exactly the questions you want to know about.

And then there is the wedding magic

This is where I can really see the value for destination weddings.

Imagine this: Your guests are flying into Portugal on different days, from different countries, on different flights. Some are staying at the wedding venue, others in nearby hotels. Some have booked hair and makeup. Some are joining a welcome dinner. Others are going on an excursion the following day. You could send all of this information in advance.

But what happens when they actually arrive? That's when a personal message can make all the difference.

That is the kind of communication that makes a guest feel looked after.

And it doesn't require the couple to sit at their phone sending individual messages to 80 people.

If you are working with a wedding planner, the planner and their team can still provide this personal layer - confirming shuttle times, hair and makeup appointments, changes to the schedule or anything else that needs human attention.

But if you are planning your wedding yourself, AskVino can take over much of that guest communication for you.

One of my favourite features: the photos

There is another feature I particularly like: guests can upload their own photographs and videos. Because your photographer and videographer will capture the wedding beautifully. But your guests see the wedding differently. They capture the moment you weren't looking.

The funny picture at breakfast. The dance floor from the other side. Your father laughing with his friends. The spontaneous swim the morning after. The little moments that nobody planned. AskVino gives guests a simple way to share those memories into a collective gallery.

And I love the idea of having a collection of the wedding through your guests' eyes.

For larger destination weddings, there is even more

AskVino even goes further. It also has a Wedding Concierge option for weddings with more logistics involved. You can use it to coordinate rooms, collect payments, gather flight information and assign shuttles, as well as manage activities and excursions.

This is particularly relevant when you have a multi-day destination wedding.

Think about a typical wedding weekend in Portugal:

  • Thursday Airport arrivals · hotel check-in · welcome drinks

  • Friday Wine tasting & welcome dinner

  • Saturday Wedding day · hair & makeup · shuttles · ceremony · dinner · party

  • Sunday Brunch & departures

There can be dozens of moving parts and every guest has a slightly different version of the weekend. AskVino creates one place where those individual questions can be answered.

So, is it worth it?

If you're having a small, local wedding and most of your guests live nearby, you probably don't need a guest management tool like this. Your guests know the area, know how to get to the venue, and there simply aren't that many logistics to navigate. A wedding website and a few well-timed messages will probably do the job.

But for a destination wedding in Portugal, we think AskVino is absolutely worth it.

When your guests are travelling internationally, staying in different places and joining different parts of your wedding weekend, guest communication can become surprisingly time-consuming. And the closer you get to the wedding, the more those little questions start coming your way.

This is where we see the real value of AskVino. Not as a replacement for your wedding website. Not as a replacement for your wedding planner and certainly not as a replacement for human contact.

Rather, it takes care of the hundreds of little questions and conversations surrounding a destination wedding that would otherwise end up in your inbox, your WhatsApp messages or simply on your to-do list.

It's about making people feel that someone is looking after them.

And when your guests are travelling to another country to celebrate with you, that feeling matters.

Because a seamless guest experience is ultimately about communication. It's about making people feel seen, informed and looked after throughout the entire wedding celebration - from the moment they start planning their trip to the moment they head home.

Good guest management isn't just about collecting an RSVP and dietary requirements. It's about anticipating what your guests need, being there when questions arise, and making the whole experience feel effortless for them.

And honestly, that's exactly why we like AskVino. It does this in a way that feels personal, practical and genuinely useful - making it one less thing for you to worry about while giving your guests the feeling that someone is always there to help.
